In the Sound recordings/My sound recordings menu, users have the option to export table data to an Excel file. Two Excel formats are available. After selecting  Download as Excel, the application will always prompt the user to choose which format to generate.

Uploadable (template) format

This format generates an Excel file based on the structure of the Sound recording template.but it also contains hidden columns that store identifiers for MAHASZ.

Within this Excel file:

  • The identifying fields — Performer, Title, and Version — cannot be modified
  • Other metadata related to the sound recording can be modified
  • Rights-related data can be modified
  • Rights to the sound recordings may be waived
  • Sound recordings cannot be deleted
  • Additional sound recordings may be added if necessary, but due to protected hidden fields, entire rows cannot be copied

The default name of the Excel file consists of three parts, separated by underscores:

  • MAHASZ
  • Rights holder ID
  • Date and time

Once edited, the file can be uploaded via the Sound recordings/Upload new list menu.

Important notice

If the Excel file contains sound recordings imported from the system that include fields which are now mandatory but were previously optional, the system will not flag these as errors during upload — even if they remain unfilled.

For example, the start and end dates of rights are now required, but older entries may still leave these fields blank, which implies permanent rights.

However, it is strongly recommended to complete any missing mandatory fields — especially the ISRC code. For new records, all required fields must be filled in.

Note: The table’s visible columns do not affect the content of the Excel file. All relevant data will be included, even if certain columns are not currently displayed.

Tip: Before exporting, consider filtering the table to include only recordings you intend to modify. This results in a smaller Excel file and simplifies editing.
