Sound recording template
To register multiple sound recordings at once, you can use the Sound Recording Template, which is available for download in this menu.
The form is provided as an Excel template and should be opened and completed on your computer.
- Required (mandatory) fields are marked in red in the Excel header.
- Hovering over each column header will display a comment to help guide you in filling out the data.
Once completed, the file should be uploaded as described in the Sound recording metadata registration section.
Completing the Sound Recording Template
Sound recording data fields
- Artist (Performer): Name of the lead performer of the sound recording
- Track Title: Title of the sound recording
- Version: Version of the sound recording (if applicable)
- Album: Title of the album containing the sound recording
- Playing time: The duration of the sound recording can be entered in seconds or in the hh:mm:ss format. If the specified length exceeds 24 hours, the system will only consider the portion within a single day
- ISRC Code: ISRC identifier of the sound recording
- Original Release Date of Sound Recording: The official original release date of the sound recording
- Producer of sound recording: The individual or legal entity holding the original rights to the sound recording
- Rights holder: The natural person or legal entity currently exercising publishing rights and authorized to represent the original rights owner and collect royalties for the sound recording within the territory of Hungary
- Origin: Indicates whether the sound recording is domestic or international
- Genre Code: Selectable from the list that appears when hovering over the column header
- Date of Attainment of Rights (start date of rights):
- By default, this matches the release date of the sound recording.
- If the rights were acquired through other means (e.g. purchase, publishing agreement), enter the date the agreement was made.
- Future dates may be entered, but must not exceed the current date plus 10 years.
- Date of Expiration of Mandate (end date of rights, last day of validity):
- If the original producer or publisher still holds the rights, leave the field blank.
- If the rights were acquired through other means (e.g. purchase, publishing agreement):
- For open-ended agreements, leave the field blank
- For fixed-term agreements, enter the expiration date of the agreement.
- Share rate: The percentage of ownership held by the rights holder during the specified period. Leaving this field blank implies 100% ownership. Enter 0%, if you wish to withdraw your rights during the specified period.
- Remarks: An optional field for providing any additional information as a comment.
Managing multiple rights periods
If you hold rights to a sound recording across multiple time periods, you must repeat the recording entry in the Excel table for each rights interval, specifying the corresponding share rate for each.
Please note:
- Avoid splitting continuous periods with the same share rates into multiple entries unnecessarily.
- The Excel file is processed in order, and overlapping rights periods for the same recording are interpreted as follows:
- If a newly entered period overlaps with one already in the system or listed earlier in the same Excel file, the later entry will override the previous one.
Examples
If the previously registered period is 2024-01-01–2025-12-31 with a 100% share rate, and you enter one (and only one) of the following with the same share rate
- 2024-01-01 - 2029-12-31 result: 2024-01-01–2029-12-31 (extends the end date)
- 2023-10-01 - 2029-12-31 result: 2023-10-01–2029-12-31 (extends both start and end dates)
- 2025-01-01 - 2025-10-31 result: 2025-01-01–2025-10-31 (shortens the interval)
- 2025-01-01 - 2029-12-31 result: 2025-01-01–2029-12-31 (shifts both start and end dates forward)
- 2026-10-01 - 2100-12-31 result: 2024-01-01–2025-12-31 and 2026-10-01–2100-12-31 (creates a new interval; the original remains unchanged)
If you enter all of the above examples in the same Excel file, the final result will be: 2026-10-01–2100-12-31 (the last entry overrides the rest)
Important notes:
- A rights period includes both the start and end dates.
- Rights periods cannot be 1 day long. The system will ignore such entries during royalty distribution.
- Uploads will be rejected if the start date is not earlier than the end date or the start date is more than 10 years in the future.
- In case of agreements:
- Ensure there are no overlaps or gaps between the periods of the parties.
- For example, if rights are transferred starting from 2025-10-01, the seller should enter 2025-09-30 as end date, and the buyer should enter 2025-10-01 as start date.
Withdrawing rights
Recordings cannot be deleted from the MAHASZ registry using the submission form, but rights can be partially or fully withdrawn.
Full withdrawal
- If you never held rights to a sound recording (e.g. it was registered by mistake), enter it in the Excel file as follows:
- Leave both the Attainment and Expiration date fields blank
- Enter 0 in the Share rate column
Once uploaded and accepted, the sound recording will no longer appear under Sound Recordings/My sound recordings (unless it appears later in the same file with a non-zero share rate).
Partial withdrawal
- If you no longer hold rights during part of a previously entered period, adjust the period boundaries accordingly.
- If you have multiple periods and no longer hold rights during one of them, enter 0 in the Share Rate column for that specific period.
