Sound recording metadata registration
There are two ways to upload sound recording data to the MAHASZ sound recording registry:
- Bundle upload: If you wish to submit data for a large number of sound recordings at once, you can do so using the Sound Recording Template after preparing the data accordingly.
- Individual registration: If you only need to register a few sound recordings, you can enter the data manually via the publisher interface.
Bundle upload – Using the Sound Recording Template
If you wish to upload data for multiple recordings at once, use the Sound Recording Template. This is an Excel template available anytime under Help/Sound recording template.
- Download and save the template: Download the Excel form and save it to your computer.
- Fill in the required data: Open the saved file and complete the relevant columns according to the provided guidelines here.
Note: Columns marked in red are mandatory! - Save and upload the file: After completing the form, save the file and log in to your user account. You can upload the file via:
- Sound recordings/Upload new list, or
- Sound recordings/My uploaded lists, where previously submitted lists are visible. Use the
Upload icon above the list.
In the Upload new sound recording window, click Choose file(s), select the completed file from your computer, and then click Upload to submit it.
Tip: The Sound recording Template can also be downloaded from this menu. For more details, see the description under Sound recordings/Upload new list.
- Reviewing uploaded data:
- You can track your uploaded files and their processing status under Sound recordings/My uploaded lists.
- Accepted sound recordings will appear under Sound recordings/My sound recordings.
- Any conflicting sound recordings can be managed under Sound recordings/My double claims.
Individual registration – Manual entry
If you only need to register a few sound recordings, you can do so manually without using the Sound Recording Template.
- Go to Sound recordings/My sound recordings, where your previously registered sound recordings are listed.
- Click the
New sound recording icon above the list to enter the details of a new sound recording (details here).
- Please note: sound recordings submitted this way must be entered one at a time.
Editing sound recording data
Sound recording data can only be edited to a limited extent. The following fields cannot be modified
- Performer
- Track title
- Version
If you need to update other details (e.g. rights information), this can be done either in bundle or individually through the interface.
Bundle editing – Using the Sound Recording Template
To update multiple recordings at once, you can use the previously introduced Sound Recording Template.
- Fill out a blank template: Complete a new Sound Recording Template form with the updated data. You may include both new sound recordings and previously registered ones that require changes. The process is the same as described in the registration section
- Modify a pre-filled template downloaded from the system: In the Sound recordings/My sound recordings or Sound recordings/My double claims menu, you can export selected sound recordings into an Excel template.
- Filter the sound recordings you wish to edit.
- Click the
Download as Excel icon above the list.
- Choose the “uploadable (template)” format, if asked for.
- Make the necessary changes in the downloaded file.
- Upload the updated file using the same method as described in the registration process.
Important notes:
- The performer name, title, and version of the pre-filled sound recordings cannot be changed in this template.
- The file contains hidden columns with MAHASZ-specific identifiers of the pre-filled sound recordings.
- Sound recordings cannot be deleted from the file or from the MAHASZ registry.
- If a sound recording was registered with incorrect performer, title or version or needs to be submitted with a version, you must first withdraw it, then re-register it with the correct data (as described here).
- You can insert any new sound recordings to this template, too.
Individual editing – Manual update
To edit a single sound recording, you can use the application interface.
- Go to Sound recordings/My sound recordings or Sound recordings/My double claims
- Select the sound recording you wish to update (you can use filters).
- Use the action icons associated with the sound recording to access the editing options, as described in the relevant section.
